We run a growing exterior cleaning business and are looking to automate our customer onboarding and email marketing process to save time and increase upsells.
Currently, our workflow is: • A customer receives a quote. • They are only added to our database once they sign up with GoCardless (our third-party payment provider). • After sign-up, we manually add them to job sheets in Cleaner Planner and send staff to carry out the clean. • We then manually follow up with texts/calls/emails to check they are happy with the service.
This process is too manual and we want to automate it using GoCardless → Mailchimp → Cleaner Planner.

What We Require 1. Automation Setup • When a customer signs up via GoCardless, it should trigger an automated workflow. • This should include: • Adding the customer to Cleaner Planner (job management). • Adding the customer to Mailchimp (email marketing audience). 2. Automated Email Sequence (Sales Funnel) • Email 1: Welcome Email • Sent immediately after GoCardless signup. • Should thank them for choosing us, introduce the business, highlight our USPs (trusted, reviews, quality guarantee), and showcase key services. • Needs to be well-written with strong copy and professional design (with images we will provide). • Email 2: Service Follow-Up • Sent after the first clean is carried out. • Should check how the service went, remind them about our 100% Quality Guarantee, and reassure them to contact us if they have any issues. • Email 3: Upsell Email • Sent shortly after the follow-up. • Designed to upsell our additional services such as gutter clearing, soffit/fascia/UPVC cleaning, cladding cleaning, conservatory roof cleaning, etc. • Ongoing Campaigns: • After the initial sequence, we’d like 3–4 emails per year (roughly every 12 weeks). • 2–3 emails focused on upselling exterior cleaning packages. • 1–2 emails focused on educating customers about the benefits of regular exterior cleaning.

What We’re Looking For in a Freelancer • Experience with Mailchimp automations and email design. • Ability to set up integrations/automations between GoCardless, Mailchimp, and Cleaner Planner (likely via Zapier or similar tools). • Strong copywriting skills (to write clear, engaging emails that build trust and drive action). • Graphic design ability to build professional-looking emails/brochures using our branding and photos. • Marketing experience in creating effective sales funnels that upsell services without spamming customers.
